Communications Policy

Ward sends service-related communications via SMS and email. This page summarizes our messaging practices.


By using Ward, you consent to receive service-related communications necessary for the platform to function. These include verification codes, booking confirmations, and appointment reminders.

Ward does not send marketing messages.


Message Types

SMS Messages

Message Purpose
Verification codes 6-digit login codes sent during authentication

SMS is delivered via Twilio. Standard messaging rates from your carrier may apply.

Email Messages

Message Purpose
Welcome email Confirms account setup and role assignment
Booking confirmation Details of newly booked appointments
Cancellation notice Confirmation when bookings are cancelled
Reassignment notice Updated details when bookings are moved
Appointment reminder Morning-of reminder for upcoming appointments
Account updates Role changes, account deletion notifications

Email is delivered via Resend.


Message Content

Messages include:

  • Appointment details (date, time, resource, location)
  • Names of involved parties (professional and client)
  • Status changes and action confirmations

Messages never include:

  • Financial information
  • Passwords or security credentials
  • Marketing or promotional content

Opting Out

SMS Opt-Out

Reply STOP to any SMS message. Note that authentication verification codes are still sent after opting out, as they are required for sign-in.

Email Opt-Out

Click the unsubscribe link included in the footer of any email. Alternatively, remove your email address from your profile.

Your Responsibilities

  • Keep your contact information current — update your phone number and email as needed
  • Understand opt-out consequences — opting out of SMS makes login more difficult; opting out of email means no booking notifications
  • Check spam/junk folders — if you’re not receiving emails, check your email provider’s spam filters
