Shifts

Shifts are the core of your professional workflow. By creating shifts, you make yourself available for client appointments on specific resources during event hours.

Creating a Shift

To create a new shift:

  1. Navigate to Create Shift from the nav or go to My ShiftsCreate Shift
  2. Fill in the shift details:
Field Description
Event Select the event you’re participating in
Resource Choose an available resource for this event
Start Time When your shift begins
End Time When your shift ends
  1. Click Create Shift
  2. The system validates your shift and creates it if approved

Validation Rules

The system checks several rules before allowing a shift:

  • Event hours: Your shift must fall within the event day’s configured hours
  • Blackout periods: You cannot create shifts during blackout times (e.g., lunch breaks)
  • Resource capacity: The resource must have available capacity (based on quantity × professionals per unit)
  • No double-booking: You cannot have overlapping shifts
  • Timeslot granularity: Shifts align to the configured timeslot duration (default: 30 minutes)

If a resource shows as unavailable, it may be at full capacity for that time period. Try a different time or resource.

My Shifts

The My Shifts page lists all your shifts:

Column Description
Date/Time Shift start and end time
Resource Resource name and location
Capacity Resource capacity settings
Bookings Number of client bookings on this shift

You can sort and filter the list to find specific shifts.

Shift Details

Click on a shift to see full details:

  • Shift time range
  • Resource information (name, location, capacity)
  • List of assigned client bookings with client names and appointment times

Cancelling a Shift

To cancel a shift:

  1. Find the shift in My Shifts
  2. Click the cancel action
  3. Confirm the cancellation

You cannot cancel a shift that has active client bookings. Contact your admin to reassign or cancel the client bookings first, then cancel the shift.

Cancelled shifts free up resource capacity, allowing other professionals to book that time slot.

Tips for Shift Management

  • Plan ahead — Book shifts early to secure your preferred resources and times
  • Check capacity — If your preferred resource is full, check if other resources are available
  • Monitor bookings — Keep an eye on your Bookings page to see incoming client appointments
  • Coordinate with your team — Use the calendar view to see how your schedule fits with the overall event
